Privacy notice
Last updated: 3 November 2026
Who we are
Veldlock is run by its founder, a sole trader based in Scotland, United Kingdom. In this notice "we" and "us" mean Veldlock. We are responsible for the personal information described here.
For anything about your personal information, email [email protected].
What this notice covers
This notice covers the veldlock.com website: visiting it, sending a demo request, and emailing us.
It does not cover permit records in the Veldlock app. Those belong to the customer whose site they come from, and we handle them under a written agreement with that customer. Your data explains how.
What we collect and why
- Demo requests. Your name, work email, company, role and any message you add. We use them to reply to you and arrange a demo. We do this because we have a legitimate interest in answering enquiries about our product, and because you asked us to.
- Emails to us. Whatever you include when you write to [email protected] or [email protected]. We use it to reply.
- Spam protection. The demo form uses Cloudflare Turnstile, which looks at technical information from your browser, such as your IP address, to check that a person rather than a bot is sending the form. We do this to keep the form usable and the site secure.
- Running the site. Like any website, the servers that deliver it process your IP address and basic browser details so the pages reach you and attacks can be blocked.
- Visitor counts. If we measure visits, we use Cloudflare Web Analytics, which counts page views without cookies and without following you across other websites.
We don't sell your information, we don't use advertising trackers, and we won't add you to a mailing list unless you ask us to.
Who handles it
We use a small number of providers to run the website and handle email. They process your information for us, not for their own purposes.
- Cloudflare hosts the website, runs the spam check and forwards email sent to our veldlock.com addresses.
- Resend sends demo requests from the website to our inbox, from servers in the EU.
- Google (Gmail) is where we keep demo requests and emails.
- Railway hosts the Veldlock app in the EU. The website doesn't send your information there.
Demo requests and emails are read only by the Veldlock team: the founder and two team members.
Outside the UK
Two members of our team work from South Africa and read demo requests and emails from there. Our providers may also process information outside the UK, including in the EU and the United States. Where information leaves the UK, we use providers and arrangements that protect it in line with UK data protection law, and we limit access to the people who need it.
How long we keep it
We keep demo requests and emails for 12 months, then delete them. If your enquiry leads to working together, we keep the relevant correspondence for as long as that relationship lasts and then for as long as we need it for our records.
Cookies
The website doesn't set cookies. The spam check on the demo form doesn't use cookies to track you.
Your rights
You can ask us to:
- tell you what information we hold about you and give you a copy;
- correct it if it's wrong;
- delete it;
- stop or limit how we use it, or object to our using it.
Email [email protected]. We'll reply within one month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the UK's Information Commissioner's Office (ico.org.uk) or, if you're in South Africa, the Information Regulator (inforegulator.org.za).
Changes
We'll update this notice when how we handle information changes, for example when Veldlock becomes a registered company. The date at the top shows the latest version.
